Sidwell Summer Policies

The following policies are enforced for all Sidwell Summer programs.

Payments, Discounts, and Refunds

All payment is due by May 1. All deposits are non-refundable and all payments are non-refundable after May 1.

If enrolling in a program after May 1, full payment is due at the time of registration. Changes to a camper’s schedule may result in full loss of payment. Payments cannot be forwarded to the next year’s programs or to a sibling’s account. Any deposit or payment lost due to withdrawal from a program will be contributed to Sidwell Summer’s Sponsorship Program. 

Pro-Rating

Sidwell Summer does not pro-rate for partial attendance or absence from a program.

Discounts

Certain discounts as listed below are offered during the camper registration period. Discounts only apply during the specified time period for which the discount is valid and may be lost if the schedule is changed.

5% sibling discount- Valid the entire registration period in which two or more siblings register for any Sidwell Summer Program. Discount is applied automatically at the time of registration when two or more siblings register under the same account. Discount is removed if only one sibling attends Sidwell Summer programs.

Early Bird Discount- Valid until January 31 at midnight. The Early Bird discount is $100 off each full-day camp session (excludes half day programs and Summer Studies courses) and is automatically applied when you complete your registration during the Early Bird registration period. The Early Bird discount can only be applied to weeks that families register for prior to January 31. Session changes may be made during the discount period and the discount is maintained. However, any changes made to a camper’s session schedule after January 31 will result in loss of the Early Bird Discount.

Payment Plans

If your family needs additional time to pay your final balance with Sidwell Summer, we can work with you to establish a payment plan. Please contact our office at the time of registration to see if we can set up a plan that meets your family’s needs. Please note, full payment is still due by the Friday before the first day of the program your child is attending. Payment plans should be established prior to May 1.

Registration Changes and Change Fees

There is no registration fee to enroll in Sidwell Summer programs. All deposits are non-refundable. Full payment is due May 1st and no refunds are available after that date. Prior to May 1, changes may be made to a camper’s schedule, based on program availability, at no additional fee. After May 1, any changes to an existing registration will result in a $25 administrative fee. After May 1, all payments are non-refundable even if a camper switches to a program with lower fees and the $25 administrative fee will also apply. This policy applies to Extended Day programs as well.

No fee is incurred for changes to Explorer Day Camp or Explorestar workshop schedules. However, all change requests are based on availability and must be made prior to 12:00 PM on the Thursday before a program session begins.

Refunds

All deposits are non-refundable. After May 1, all payments are non-refundable.

Releases
Mandatory Release

Any participant in any Sidwell Summer program must have the following Mandatory Release accepted by a parent or guardian during the online application process or signed if applying using a paper application.

I authorize Sidwell Summer, when I cannot be reached, to take my child to the emergency room of the nearest hospital, at my expense. In case of an emergency, I give my permission to Sidwell Summer to arrange for emergency medical treatment and, when neither guardian can be contacted by phone, to sign a permit on my behalf for the administration of a general anesthesia by a qualified anesthesiologist. The hospital has my authorization to provide treatment that a physician deems necessary for the well-being of my child. I give permission for my child to be taken on field trips, off the Sidwell Friends campus and supervised by Sidwell Summer staff, whether by foot, metro, taxi, van, or bus. Except as stated above on this certificate, this individual is in good health and is capable of participating in a full program.

Photograph Release

Sidwell Summer requests that parents authorize a photograph release for each participant issuing Sidwell Friends School the right to photograph, video or record summer participants for the purpose of illustrations, publications and websites. If a guardian wishes to decline this authorization, s/he must indicate this at the time of registration and submit a photograph of his/her child to Sidwell Summer so that we can check photographs taken during the summer. 

Bethesda Campus Releases

Maryland law requires all campers on the Bethesda Campus to have a signed authorization to be transported and participate in certain water sport activities. Required releases are completed during the online registration process.

Sunscreen Policy

We encourage all campers to bring their own sunscreen labeled with camper’s name for all programs- even indoor based programs spend some time outside during the day. We offer reminders to re-apply sunscreen over the course of the day (especially outdoor sports programs) and prior to any water play or swimming activities. This procedure is enforced by all programs operated by Sidwell Summer at both locations. Campers five and under will be assisted as needed by camp staff when sunscreen is being applied. Please make certain that sunscreen has been applied to your camper before arriving to camp!

Off-Campus Swim and Transportation Release

Parents of campers participating in any swim program must agree to the following release ahead of the camp session. Release is emailed to families in advance of participation in the activity.

Campers participating in any Sidwell Summer swim activity will be transported off-campus for the swimming. Campers will be transported either by certified Sidwell Staff driving a 15-passenger mini-bus or a chartered school bus. Sidwell Summer staff accompanies campers at all times on the bus. Once on site, the campers are supervised by Sidwell Summer Staff as well as site location life guards. The first day of participation in the program, pool lifeguards will administer a swim test to all campers to determine the camper’s ability to swim in the deep end. Campers successfully completing the swim test will be allowed to swim in the deep end. All swimming activities are recreational (not instructional) and participants should be competent swimmers in order to participate in the program.

Pick Up and Drop Off Policies
For everyone’s safety, all children on campus during the summer regardless of age must be registered in a Sidwell Summer program in order to be on campus.

Early Drop-Off Policy

Campers should arrive no earlier than 15 minutes prior to the program start time. If you arrive earlier, an adult must wait with the camper(s) until the designated drop-off time. If you need to drop your child off earlier, the child must be registered for the Early Risers program, which begins at 7:30 AM. Campers enrolled in Early Risers should not be dropped off before 7:30 AM.  Please note this is for the safety of all campers. Any camper on-campus, not accompanied by an adult before the designated drop-off time will be taken to the Early Risers program and charged the Early Drop-Off Fees listed below.

Early Drop-Off Fees

It is unsafe to have any camper on campus unsupervised. Therefore, early drop-off fees are incurred if a camper is on campus prior to the designated drop-off time without an adult. The early drop off fee is $50.00/day. Please note charges are per camper and will apply to each child.  Payment must be given in order for the camper to participate in their camp program. Multiple instances may result in dismissal of the camper from camp. 

Late Arrival

Campers arriving after a program’s start time must be brought to the Sidwell Summer office to be checked in. Sidwell Summer staff will then walk your camper to their program.

Early Pickup

If your camper needs to be picked up early from camp, you will need to come to the Sidwell Summer office to be signed out. Please call the Sidwell Summer office (202.537.8133) ahead of time to alert us about an early pick up. All early picks-ups must happen before 2:15 PM. After 2:15 PM campers must be picked up from the carpool line. CAMPERS WILL NOT BE ALLOWED TO LEAVE CAMP ON THEIR OWN WITHOUT WRITTEN AUTHORIZATION FROM PARENTS. Please email summer@sidwell.edu to authorize campers to use public transit or walk home.

Late Pick-Up

Campers are not allowed to remain on-campus unless registered in a program. Any camper not picked up within the designated pick up window will be escorted to the Sidwell Summer office and late fees will be incurred.

Note, late pick ups are NOT taken to the Camp ’til Six program. That program is for registered campers only. Campers will wait in the summer office for pick-up. Serious infractions (either based on frequency of late pick-ups or duration of any single pick-up) may result in dismissal from camp program.

If you know a child will be picked up late, please notify Sidwell Summer as soon as possible. Late fees will still be incurred; however, this helps us keep staff and campers informed.

Our staff’s time is as valuable to us as the time of our families. Therefore, late pick up fees are incurred once the program’s designated pick-up window ends.

Payment is due at the time of pick-up – no exceptions. Payments can be made by cash, check or credit card in the office.  If a camper is picked up within 15 minutes of the designated pick-up time, there is a flat charge of $15.00. Campers picked up 15-30 minutes late are charged $50.00. Any camper picked up 30 minutes after the designated pick up window will be charged a flat rate of $75.00. Please note charges are per camper and will apply to each child.

Early Risers Drop Off and Camp ‘til Six Pick Up Policies

Our extended day programs, Early Risers & Camp ’til Six will fill – early registration is encouraged to guarantee participation.

Early Risers Drop Off

DC Campus - All Early Risers campers should be walked to the Upper School cafeteria to check-in. Please park in the parking garage and follow signs for the Upper School Cafeteria/ Early Risers/ Camp ‘til Six.  Campers are walked to the programs at 8:45 AM daily by program staff.

Bethesda Campus- All Early Risers campers should be walked to the Multi-Purpose room in the Groome Building to check-in. Please park in the parking lot and follow signs for Early Risers. Campers are walked to the programs at 8:45 AM daily by program staff.

Camp ‘Til Six Pick Up

Parents picking up from the Camp ‘Til Six program between 3:30 PM and 5:45 PM should park and walk to the designated area to sign out camper(s). At 5:45 PM all remaining campers are brought to the parking garage (DC Campus) or front proch (Bethesda Campus) for dismissal. Campers must be picked up by 6:00 PM.

Any camper picked up after 6:30 PM will be charged a flat rate of $75.00 and this is considered grounds for dismissal from the Camp ’til Six program without refund. Please note charges are per camper and will apply to each child.

Sidwell Summer Communication

Once registered, communication to families regarding camp is sent via email. During the registration process, please make certain we have your preferred email address. Please notify our office of any changes.

Camper and Student Absences

Please notify Sidwell Summer if your camper is going to be absent – this is for the safety of all campers.
