Payments and Refunds

Summer 2024: As space is limited, we want you to feel confident registering so programming can be moved, but not cancelled. 

  • Any cancellations made by Sidwell Summer will be fully refunded. 

  • A non-refundable deposit is due at the time of registration for all programs. 

  • Prior to May 1: All fees, less the deposits are refundable.

  • May 1 and After: Payment is due in full, at which point all fees are non-refundable.

    *Changes may be made up to one week prior to programming at no charge so long as the total number of sessions remains the same or is increased.

  • Cancellations by participants due to illness (COVID-19 or otherwise) will not be refunded.  

*Payments lost due to withdrawal from a program cannot be forwarded to the next year’s programs or to a sibling’s account.  Any deposit or payment lost due to withdrawal from a program will be contributed to Sidwell Summer’s Sponsorship Program.

Pro-Rating

Sidwell Summer does not pro-rate for partial attendance or absence from a program.

Discounts

Sidwell Summer does not offer any discounts as we look to provide enriching and quality programming that is priced to include above average staff pay, supplies, materials and exceptional care and teaching.

Payment Plans

If your family needs additional time to pay your program fees, we can work with you to establish a payment plan. Please contact our office at the time of registration to set up a plan that meets your family’s needs. Please note, full payment is due at least 1-week before the first day of the program your child is attending. Payment plans must be established prior to May 1.


Pick-Up and Drop-Off Policies

For everyone’s safety, all children on campus during the summer, regardless of age, must be registered in a Sidwell Summer program in order to be on campus.

Early Drop-Off Policy

Campers should arrive no earlier than 15 minutes prior to the program start time. If you arrive earlier, an adult must wait off campus with the camper(s) until the designated drop-off time.  Please note that this is for the safety of all campers.

Early Drop-Off Fees

It is unsafe to have any camper on campus unsupervised. Therefore, early drop-off fees are incurred if a camper is on campus without an adult prior to the designated drop-off time.  The early drop-off fee is $50/day. Please note, charges are per camper and will apply to each child.  Payment must be given in order for the camper to participate in their camp program. Multiple instances may result in dismissal of the camper from camp. 

Late Arrival

Campers arriving after a program’s start time should call the summer office to coordinate arrival as all participants must be checked in.

Early Pick-Up

If your camper is to be picked up early from camp, you will need to come to the Sidwell Summer office to sign them out. Please call the Sidwell Summer office (202-537-8133) ahead of time to alert us about an early pick-up.  All early picks-ups must happen before 2:30pm. After 2:30pm, campers must be picked up from the carpool line. 

CAMPERS WILL NOT BE ALLOWED TO LEAVE CAMP ON THEIR OWN WITHOUT WRITTEN AUTHORIZATION FROM PARENTS. Please log-in to your account to indicate that your camper has permission to leave campus on their own.

Late Pick-Up

Campers are not allowed to remain on campus unless registered in a program. Any camper not picked up within the designated pick-up window will be escorted to the Sidwell Summer office, and late fees will be incurred.

Serious infractions (either based on frequency of late pick-ups or duration of any single pick-up) may result in dismissal from camp program.

If you know a child will be picked up late, please notify Sidwell Summer as soon as possible. Late fees will still be incurred; however, this helps us keep staff and campers informed.

Late Pick-Up Fees

Our staff’s time is as valuable to us as the time of our families. Therefore, late pick-up fees are incurred once the program’s designated pick-up window ends.

Payment is due at the time of pick-up – no exceptions. Payments can be made by cash, check, or credit card in the office.  If a camper is picked up within 15 minutes of the designated pick-up time, there is a flat charge of $15. Campers picked up 15-30 minutes late are charged $50. Any camper picked up 30 minutes after the designated pick up window will be charged a flat rate of $75. Please note, charges are per camper and will apply to each child.


Sidwell Summer Communication

Once registered, communication to families regarding camp is sent via email. During the registration process, please make certain we have your preferred email address. Please log-in and update your information or notify our office of any changes.  Communication includes welcome emails detailing all program logistics, updates regarding weather or carpool changes, payment reminders, and more.


Camper and Student Absences

Please notify Sidwell Summer if your camper is going to be absent – this is for the safety of all campers.
